POSITION SUMMARY

This is not a traditional Executive Assistant role—it’s a high-impact, strategic partnership with CID’s Chief Visionary Officer & CEO, Jenn Zella , and, to a lesser degree, her co-founder, Barb Zella. As Jenn’s trusted right hand, you’ll optimize her time, manage high-level priorities, and proactively navigate the complexities of her schedule, travel, and business commitments. You will act as a bridge between Jenn and internal/external stakeholders, ensuring seamless communication, decision-making, and execution of key initiatives.

REQUIREMENTS

  • 7+ years of high-level Executive Assistant or Executive Business Partner experience.
  • MUST have experience supporting a C-suite executive, founder, or entrepreneur in a fast-paced, high-growth environment.
  • Deep knowledge of travel logistics, event planning, and high-touch service.
  • Tech-savvy and AI-forward. Experience with Microsoft Office, Bluebeam, Salesforce, and AI-powered tools is a plus.
  • Familiarity with EOS (Entrepreneurial Operating System) is strongly preferred.
  • Hybrid work model: Must be able to work in-office in Naples, FL at least 50% of the time.

Jenn Zella is a visionary, highly creative, and entrepreneurial leader deeply engaged in the strategic, client, and design aspects of CID. She is charismatic, high-energy, and future-focused, often juggling multiple priorities and wearing many hats. Jenn’s free-spirited creativity means she often loses track of time—this role requires a calm, confident presence that keeps her on schedule while allowing her to operate in her creative and strategic genius zone. She values direct, clear, and respectful communication. The assistant must be discerning, proactive, and comfortable making judgment calls. This role requires someone grounded and calming, who can handle pressure without getting overwhelmed.

Additionally: The role will support Barb Zella (10% of the time). Barb is more detailed and structured. Her work is mostly special projects, some scheduling, and serving as a conduit between Jenn and Barb.

ESSENTIAL DUTIES & RESPONSIBILITIES

Strategic Calendar & Time Management

  • Own Jenn’s complex and ever-evolving calendar, ensuring high-priority work is protected and aligned with business objectives.
  • Manage scheduling with a discerning eye, saying no when necessary and ensuring that every meeting serves a clear purpose.
  • Prepare Jenn before every meeting with relevant briefs, research, and key talking points.
  • Balance Jenn’s role as a business leader, creative entrepreneur, and mother, ensuring protected family time.

Travel & Logistics Management

  • Full-service travel management—flights, hotels, cars, itineraries, restaurant reservations, and emergency travel troubleshooting.
  • Select design-forward accommodations that align with CID’s hospitality aesthetic and brand.
  • Anticipate travel risks and proactively solve problems before they arise.

High-Level Communication & Relationship Liaison

  • Serve as Jenn’s voice in written and verbal communication, ensuring polished, professional, and relationship-driven messaging.
  • Manage Jenn’s email inbox, prioritizing and filtering messages with discretion.
  • Assist with high-profile client, investor, and stakeholder relations, ensuring strong rapport-building.
  • Research new clients, investors, and business partners, providing Jenn with critical insights before meetings.

Project & Task Execution

  • Track and advance key initiatives, ensuring follow-through on high-impact projects.
  • Work in close alignment with CID’s Leadership Team to facilitate execution of company-wide goals.
  • Act as a trusted thought partner, anticipating Jenn’s needs and providing solutions before problems arise.
  • Partner with the Culture & Events Team on internal company experiences and events.
  • Work very closely with Jenn’s other support professionals—this role requires collaboration, not ego.
  • Manage expense reports, professional licensing renewals, and other administrative tasks in collaboration with CID’s CFO.
